Privacy Policy

Effective Date: 16 October 2026

Who we are

VoicePrompt™ is operated by Ontologic Intelligence Ltd (Company No. 16545704), a private limited company registered in England and Wales. Registered office: 128 City Road, London, EC1V 2NX, United Kingdom. For privacy questions: privacy@voiceprompt.app.

Our privacy commitment

The VoicePrompt desktop app does not send your audio, transcripts, or API keys to us. Audio either stays on your machine (local models) or goes from your computer to the AI provider you chose. License activation may send your license key and device identifier to our licensing service. We do not collect dictation usage telemetry.

What we do not collect from the app

  • Voice recordings
  • Transcribed or edited text
  • Your provider API keys or Google sign-in tokens (stored on your device)
  • In-app usage analytics or crash telemetry from the desktop product

What we collect on this website

Checkout, downloads, and website forms are not open yet. The site currently processes technical data needed to serve pages. When the other features become available, we will process the information described below for the feature you choose to use:

  • Purchases, when available: email address, license type, and payment metadata from our payment processor. We will not store full card numbers.
  • Waitlists / contact, when available: email and any details you voluntarily submit (for example company name or a support message).
  • License portal, when available: email and license key lookups you initiate, so we can show or help manage your license.
  • Technical data: standard web server and CDN logs (IP address, user agent, pages requested) and local preferences you set in the browser (for example theme), stored in local storage on your device.

In short: the site processes technical data; future purchases and support requests will provide the records needed to handle them. The app does not send us your dictation.

Why we process it (legal bases)

  • Contract: delivering a license, download, or support you asked for.
  • Legitimate interests: securing the site, preventing fraud, and improving the website in aggregate.
  • Consent: optional waitlists or marketing emails, where we ask for consent. You can withdraw at any time.
  • Legal obligation: tax and accounting records where required.

How VoicePrompt works

1. Desktop software: runs on your Windows PC. Optional license activation contacts our licensing service; dictation audio is not part of that check.

2. Models: local transcription can run offline. Optional cloud transcription or editing uses a provider you choose (for example OpenAI, Anthropic, Google, Groq, or an OpenAI-compatible endpoint). Google sign-in, in builds where it is available, authorizes directly with Google. Public sign-in availability is pending production verification; provider connections may require your own key.

3. Local storage: new provider keys are protected with Windows DPAPI on your device. Google authorization data and app settings are stored locally. If you imported settings from an older version, review or replace any legacy key. Downloaded local models remain on your machine.

4. License checks: paid features are validated in the app using your license key. We do not stream your audio to validate a license.

5. Computer Use: this optional paid feature is off by default. When enabled, it reads labels from the active window for control selection. If a screenshot-based provider is used, it captures the screen during the session. Control labels, screenshots, and your instruction may be sent to the provider you configured so it can choose actions. VoicePrompt executes those actions locally; we do not receive the session content.

6. Recent dictations: when Remember dictations is enabled, the app saves up to 100 recent text takes on your PC, including original and output text, time, and available window/context labels. These records are not audio recordings and are not uploaded to VoicePrompt. Review, edit, delete, or clear them in Settings → Recent dictations. Turning Remember dictations off stops future saves; use Delete or Clear all to remove existing records. Privacy Mode keeps processing local but does not erase local history. A separate recent audio take may be retained temporarily in memory for Retry.

7. Update checks: manual checks and optional background checks contact GitHub for direct installations or Microsoft Store for Store installations. Those services receive normal connection metadata such as your IP address and the app's update request. Audio, transcripts and provider credentials are not included. Turn off Notify me about updates in Settings → General to stop background checks.

Third parties

AI providers (optional): if you enable online features, audio, text, control labels and/or screenshots may leave your device under that provider’s terms and privacy policy. Review them before use. For maximum privacy, stay on local models and leave Computer Use off.

Payments: checkout is not available yet. We will identify the payment processor and update this policy before accepting purchases.

Hosting / delivery: website hosting, email delivery, and content delivery networks process technical data as processors on our behalf.

Fonts / scripts: this site may load fonts or libraries from third-party CDNs (for example Google Fonts or Cloudflare CDN). Those providers may process your IP address when assets are fetched.

Retention

When sales and support open, purchase and license records will be kept for as long as needed to provide the product and meet accounting or legal requirements. Waitlist and support emails will be kept until handled or you ask us to delete them, unless we must retain them longer by law. Server logs are rotated according to our hosting providers' operational schedules.

International transfers

We are based in the United Kingdom. Some processors (payment, CDN, email) may process data outside the UK. Where required, we rely on appropriate safeguards such as the UK International Data Transfer Agreement / Addendum or equivalent mechanisms used by those providers.

Your rights (UK GDPR)

Depending on applicable law, you may have the right to access, correct, erase, restrict, or object to certain processing, and to data portability. You may also complain to the UK Information Commissioner’s Office (ICO). To exercise rights about data we hold, email privacy@voiceprompt.app.

Children

VoicePrompt is aimed at adults and professional users. We do not knowingly collect personal data from children under 16 through this website.

Changes

We may update this policy. The Effective Date at the top will change when we do. Material changes will be posted on this page.

Summary

VoicePrompt is Windows software that runs on your machine. Dictation stays local or goes to providers you configure. When sales and support open, we will keep the records needed to provide those services; we do not receive your dictation.

Online AI features

If you use cloud transcription or editing, content is sent over HTTPS to your chosen provider. That is outside our control once it leaves your device. Prefer local models when the content is sensitive.
